How A Claims Rep Saved Hours With SiftMed

CASE STUDY

Rob Fiorido, Portage Mutual

Senior Claims Representative

Rob Fiorido, Portage Mutual

Rob Fiorido is a Senior Claims Representative at Portage Mutual Insurance with 38 years of experience in the industry. His caseload focuses on Accident Benefits (A/B) and Bodily Injury (BI) claims, the vast majority of which involve motor vehicle accidents.

For every file, Rob’s job is to build a clear, complete picture of who the claimant was before the accident and how their life has changed since - spanning their medical history, work capacity, social, and recreational function. Understanding that picture comes from understanding the medical records, which regularly run into the thousands of pages.

The Challenge

Over the past 12 to 18 months, Rob’s caseload has been growing steadily, and with it, the volume of records he needs to work through. Records arrive from multiple sources - pharmacies, family doctors, specialists, and treatment providers - each as a separate document that needs to be downloaded, organized, and reviewed before any decision can be made.

The biggest challenge was keeping up with the growing caseload.

Hospital records alone can be close to 1,000 pages,” Rob explains. Sorting through files manually takes hours and when you’re looking for something specific, like a particular clinical finding, medication history, or blood alcohol content buried deep within the file, that time adds up fast.

On the A/B side, a thorough medical review gives Rob the context he needs to make well-supported, informed decisions - understanding the claimant's history and whether the injury is related to the accident, or whether pre-existing history is relevant. On the BI side, the review helps inform how Rob evaluates and assesses the full scope of the claim. Having a clear medical basis behind every decision helps drive the quality of the outcome.

With SiftMed

Rob now uses SiftMed every day. When a file comes in, he uploads the documents directly into the platform and starts his review. SiftMed’s Document Summaries and Case Questions give Rob a structured starting point, providing a clear overview of the records, surfacing key findings, and enabling Rob to quickly uncover details specific to the claim - all linked directly back to the source document.

SiftMed saves me a ton of time reviewing the records, and gives me a good summary to know exactly what I’m dealing with.

For files that call for something more specific, Rob adds additional case questions to zero in on exactly what the claim needs. Rob shares, SiftMed gives me a good overview, it’s almost like a capsule of information, and from there I can use it to find the specifics.” The findings feed directly into his claim notes, which are used to generate the report that gets posted into the claim file.

The Impact

With SiftMed, the hours Rob spent manually sorting through records, hours that often stretched into the evening, have been meaningfully reduced. That time savings translates directly into his work, starting every review with a structured summary and the ability to ask targeted questions means Rob goes into each file with more context and confidence before he acts on a claim.

Instead of working a couple of extra hours in the evening, I don’t have to.

Built For Everyone

Rob openly admits he's not the most tech-savvy person. That makes his take on SiftMed's learning curve worth noting: “It's really not that hard. If I can do it, anyone can do it."

Using the same features and process across each claim has given Rob a consistency and flow in his reviews that works for him. Summaries, case questions, and the same structure file after file is a reliable process he can count on.
